Epicenter Graphics Policies— Production, Artwork & Payment Policies

At Epicenter Graphics, transparency is important to us. Clear expectations help projects run smoother, protect both parties, and ensure everyone is confident moving forward. The policies below outline how pricing, artwork, deposits, material handling, and usage rights are managed for all projects.

By proceeding with a project, customers acknowledge and agree to the terms outlined below.

Pricing & Quotes

Epicenter Graphics, LLC (hereby known as “Epicenter”) reserves the right to change prices at any time. Quotes are not guaranteed until a final order is placed and a deposit is received. Pricing may change due to material costs, supplier increases, scope changes, or project adjustments requested after the original estimate. Quotes reflect the scope of work discussed at the time they are created. Any changes in size, coverage, design complexity, or materials may require a revised quote.

Deposits & Payment Terms

A 50% deposit is required on all orders over $500 before design and/or production begins.Deposits secure production time, materials, and scheduling.

Deposits made to Epicenter are non-refundable on ordered materials. Once materials have been purchased specifically for your project, those funds cannot be returned.

Unless otherwise agreed upon in writing, all invoices are NET DUE upon completion. Alternative payment terms must be approved in advance.

Payment Methods

Accepted payment methods are outlined on each invoice.Production and scheduling do not begin until the required deposit is received.

Epicenter Graphics does not process work without confirmed payment arrangements in place.

Late Fee Policy

Balances not paid by the invoice due date are subject to the following late fees:

$25 per month on balances under $500
10% per month on balances $500–$1,000
5% per month on balances over $1,000

Late fees are applied monthly until the balance is paid in full.

Accounts that remain unpaid 90 days past due may be subject to further collection action, including third-party collections or legal remedies. Any costs incurred in collection efforts may be added to the outstanding balance.

Artwork Ownership & Usage Rights

All artwork supplied for proofing is for reference and customer approval only.

All original artwork created by Epicenter remains the sole property of Epicenter and may not be copied, reproduced, transferred, or used elsewhere without prior written consent until it has been fully purchased by the customer.

Upon final payment, customers receive usage rights for the approved scope of use. Any additional usage, reproduction, modification, or resale beyond that original scope requires written approval.

Epicenter reserves the right to use photographs, renderings, and completed project visuals for marketing, portfolio, website, advertising, and social media purposes, unless otherwise agreed upon in writing.

Any unauthorized use of artwork is forbidden and may be subject to legal action.

Proof Approval Responsibility

Customers are responsible for carefully reviewing all proofs prior to approval.Once a proof is approved, Epicenter Graphics is not responsible for errors in spelling, layout, measurements, content, or design elements that were present in the approved proof.

Production Timelines

Production and installation timelines are estimated and may be affected by supplier availability, shipping delays, weather conditions, material shortages, or unforeseen production issues. Epicenter will always communicate delays as soon as they arise.

Material Storage Policy

Once materials are produced or ordered for a project, the following storage terms apply:

Materials will be held for up to 30 days for customer pickup, scheduling, or installation.
After 30 days, a storage fee of $50 per month will be applied until the materials are retrieved or approved for disposal.
In the event of a customer cancellation, Epicenter Graphics will retain the vinyl and materials for 30 days before disposal or repurposing.

Material storage fees must be paid prior to the release of stored materials.

Cancellations & Project Changes

Because all Epicenter projects are custom, cancellations after materials or design work has begun may result in forfeiture of the deposit. Any changes requested after approval that affect production, layout, or materials may result in additional charges and revised timelines.

Vehicle Wraps & Specialty Installations

Vehicle graphics and wraps carry inherent risks due to paint condition, substrate type, age, and prior repairs. A separate Vehicle Wrap & Installation Disclosure will be provided for applicable projects and must be acknowledged prior to installation.
