Bus Advertising Policies & Procedures

The following policies govern design, payment, proof approval, production, and artwork usage for Benzie Bus and BATA bus advertising projects. By proceeding with a project, customers agree to these terms.

Pricing & Quotes

Pricing is based on the advertising coverage and materials agreed upon between Epicenter Graphics and Benzie Bus or BATA bus. Work outside the agreed scope is quoted separately.

Design Scope

One layout includes one design concept for the selected bus advertising coverage, based on customer-supplied content and direction and 2 -3 minor revisions. Minor revisions include text corrections, color changes, and adjustments to existing elements. New concepts or changes in design direction constitute additional design work. Logo creation, logo redrawing, and stock image purchases are not included. PMS color matching is not included. See Color Matching below for additional fees.

Option A: Conceptual Layout

A non-refundable $90 fee is required for one conceptual layout. No revisions are included.

To proceed with revisions or production, the project must advance to Option B. The $90 fee is credited toward the required 50% deposit and the total order.

Option B: Project Deposit

A 50% deposit is required before artwork or revisions begin. This includes one layout and up to 2-3 minor revisions. Any conceptual layout created under Option A serves as the included layout. Additional revisions and layouts are billed hourly in 15-minute increments.

Cancellation During Design

Upon cancellation after artwork begins under a project deposit, $150 is retained for the initial layout and included revisions. This amount includes any previously paid $90 conceptual layout fee. Charges for additional design work completed may also deducted. Any remaining unused balance is refunded.

Inactive Projects

Projects inactive for 30 days due to lack of proof approval or customer response will be placed on hold. Epicenter is not responsible for continued follow-up once a project is on hold. Updated pricing, timelines, and production availability may apply when work resumes. Projects inactive for 90 days may be administratively closed. Charges for design, administration, revisions, materials, and other work completed will be deducted from project funds. Any remaining unapplied balance will remain as customer credit for 12 months from the last project activity, after which it may be handled in accordance with applicable law.

Proof Approval Responsibility

Customers are responsible for carefully reviewing all proofs prior to approval. Once a proof is approved, Epicenter Graphics is not responsible for errors in spelling, layout, content, or design elements that were present in the approved proof. Proof approval is final. No further changes are included. Any subsequent changes require additional payment for design work and any materials or production required, including replacement of graphics already produced.

Final Payment & Production

The remaining balance is due upon proof approval. Production and installation scheduling will not begin until payment is received in full.

Payment Methods

Accepted payment methods are cash, check, or ACH. Credit cards are not accepted.

Production Timelines

Production and installation dates are estimates and may be affected by material availability, shipping delays, weather, or unforeseen production issues. Epicenter will communicate delays as they arise.

Color Matching

Colors displayed on screen are approximate and do not exactly represent printed colors. Standard production does not include guaranteed color matching. PMS color matching is available for an additional fee starting at $150 for one round of color matching. Additional color-matching work is billed at a rate of $100 per round.

Artwork Ownership & Usage Rights

All artwork created by Epicenter Graphics remains the sole property of Epicenter Graphics. Design fees, including additional hourly charges, compensate professional services and do not purchase artwork ownership or source files. Payment authorizes use of the completed graphics for the approved bus advertising project. Artwork may not be copied, reproduced, modified, transferred, or used elsewhere without prior written consent.

Portfolio & Marketing Use

Epicenter Graphics reserves the right to use photographs, renderings, and completed project visuals for portfolio, website, advertising, and social media purposes, unless otherwise agreed upon in writing.

Removal

Removal is a separate service and is not included in the initial advertising graphics price. Removal charges are billed separately upon completion of the advertising campaign.
